How to choose a newsletter tool
Skip “#1 overall” lists. Match the tool to four constraints: audience size, automation needs, growth vs mail-ops, and budget. Then pick one system of record and ship.

1. Audience size (now and next 12 months)
List size drives plan ceilings more than brand preference.
- Under ~1,000: Free or entry tiers of most tools work. Optimize for writing habit and deliverability basics, not feature maximalism.
- ~1,000–10,000: Free tiers often break. Compare paid plan features you will actually use (automations, referrals, landing pages) — not the marketing grid’s longest column.
- 10,000+: Migration cost matters. Prefer the tool whose weekly workflow you already like; switching ESPs is painful.
2. Automation needs
Ask what must happen without you clicking “send” every time:
Tags + segments
Different content for buyers vs free readers, or topic interests. MailerLite-style ESPs and Kit-style creator tools fit well.
Product launch machines
Visual automations tied to courses, digital products, or commerce. Lean toward Kit-class creator ESPs; see Kit vs Beehiiv.
3. Growth vs mail-ops
This is the fork most creators miss.
- Growth-first: The newsletter is the product. You want a web edition, referrals, recommendations, and discovery. Start with a growth-oriented publisher like Beehiiv. Compare also Beehiiv vs MailerLite.
- Mail-ops-first: Email supports a product, community, or client work. You need reliable campaigns, forms, and automations without adopting a media OS. MailerLite, Kit, or similar ESPs usually fit better.
You can do both later — but starting with the wrong metaphor means fighting the UI every week. Choose the job you will do this month.
4. Budget (real money, not vanity free tiers)
- Price the plan you’ll need at next year’s list size, not today’s.
- Count paid add-ons (boosts, ads, premium growth features) if growth is the point.
- Ignore “unlimited” marketing language; verify subscriber and send limits on the vendor pricing page.
- Do not buy a tool to chase affiliate commissions or review scores — buy to ship issues.

Before you commit
- Export/import path: can you leave later with a CSV of subscribers?
- Domain authentication (SPF/DKIM/DMARC) — plan an afternoon for DNS.
- One capture form on a page you control.
- A publishing cadence you can keep for 8 weeks (tool choice matters less than consistency).
